Finance with Ru
Ru can explain Finance and help you complete work across budgets, quotes, time, expenses, invoices, purchasing, retainers, revenue, reports and month end. It reads the Finance guides supplied with your version of Runnit and checks account records using your own access.
Ru can record a manual refund against the remaining cash received on an invoice. It can inspect the receipt splits, and explain an excessive or unreconciled refund. Recording a manual refund does not send money through a bank.
Ru can inspect and update budget templates and create a budget from one. Saved fixed prices retain their currency, billing entity and tax basis; role prices refresh from the effective rate card. If a role is unavailable, creation stops without leaving a partial draft. Ru can also explain required fields and amount precision. Ask Ru to review the template before retrying.
Start with a question or a task
Section titled “Start with a question or a task”Open Chat from the global header while using Finance. On a record page, Ru receives the identity of the quote, invoice, budget or other record you have open and reads it within your access. Selecting a financial or retainer period keeps its conversation separate from other periods. On a retainer, Ru can read the selected period’s consumption and adjustment history. For example:
- “Explain how optional quote lines affect approval and the client’s total.”
- “Show me why this invoice cannot be issued.”
- “Generate the next retainer period and show me its allowance.”
- “Issue invoice INV-0042 dated 8 September after checking its totals.”
- “Check what is blocking August’s period close.”
Ru can explain the difference between inclusive quote prices, a budget’s net sold value and tax added to an invoice. Ask it to compare the accepted quote, budget and draft invoice when checking a conversion. For a budget with a recorded tax rate, Ru uses that rate to explain its values, even if Finance settings now show a different rate. Sent quote values use the recorded tax treatment. Ru can explain an unavailable historic option and help prepare a revision when you authorise one.
For an explanation, Ru reads the relevant guide and, when needed, the records you can see. It should identify the currency, date range and source behind account figures. Missing values are reported as missing.
For a change, Ru checks the record, the requested effect and the information needed to complete it. It asks for missing details or authorisation when needed. A request to explain a feature does not authorise a change.
What Ru can do
Section titled “What Ru can do”With the same permissions you need in Finance, Ru can:
- Create and update budgets, quote drafts, change orders and scenarios, and perform their supported later steps when authorised.
- Log and submit time, prepare expense claims and carry out permitted approvals.
- Prepare, issue, send, credit or void invoices, and record manual payments and refunds.
- Manage purchase orders, receipts, supplier bills and supplier payment records.
- Generate retainer periods, manage adjustments and prepare their invoices.
- Run recognition, manage reports, reconcile imported bank statement lines, prepare self-billing documents and manage financial periods.
Your approval policies still apply. Ru cannot supply another person’s approval, change a closed period without the permitted reopening process, or read prices, costs or salary information you cannot see. The page refreshes as work completes.
Understand the result
Section titled “Understand the result”Ru should report the actual state returned by Finance. A request awaiting approval is still pending. A queued message has not necessarily been delivered. A payment or refund record does not transfer money through your bank. If an action fails, Ru explains the reported reason and the next step.
Ru keeps the successful changes it made in the conversation. You can ask it to check or correct a change, but an issued accounting record may need a credit, reversal or another permitted workflow rather than deletion.
Steps you complete yourself
Section titled “Steps you complete yourself”Use the secure browser workflow for bank details and bank payment files, provider connections, standing payment mandates and supplier access credentials. You must also review statutory applicability confirmations and sign agreements yourself. A client signs their own acceptance.
External payment execution and electronic invoice delivery still depend on the available, configured integration. Ru cannot make an unavailable integration work.
Full Finance actions require a workspace conversation. Conversations limited to one client, background tasks and automated reviewers keep their narrower access. Ru can explain that boundary and use the tools available in the current conversation.

Ask Ru about receipt recoveries
Section titled “Ask Ru about receipt recoveries”Ru can explain a removed receipt, read its recovery balance and history, record money you have already received, or correct an incorrectly recorded recovery receipt when you authorise it. Ask, for example, “Explain why this recovery is owed” or “Record the repayment I received against this recovery”. Ru still needs the amount, date and your payment permissions. It uses the same balance limits, period rules and retry protection as the screen. It can generate a statement in the recovery’s currency and billing entity. These actions record Finance entries; they do not transfer money.
Ask Ru for a forecast for a specific budget, project or client. Ru can explain which amounts belong to that selection and why general operating costs or unallocated balances are excluded. For the cash view, ask for the next thirteen weeks to match the period shown on Forecast.
Ru can explain the recorded currency values and missing-value coverage in Finance Reports, including weighted pipeline and closed retainer overage. Quote edits keep their totals together: if pricing fails, the draft change is not saved.
Ru can review an older quote conversion or a saved template against recorded source pricing. An authorised adoption needs the current review and a reason. Active budgets open a correction for normal approval; existing template copies stay unchanged. See Budgets for the review steps.
You can ask Ru for a period’s PDF close report or its CSV accountant pack when you have export permission and organisation-wide price and cost access. The report uses the recorded generation. Up to three existing nightly findings also appear in Today; see Month End.
A project or client grant lets Ru work within that scope; it does not give Ru organisation-wide prices or costs. Accountant exports need that wider access.
For month end, Ru can read the supporting records behind each checklist item when your source permissions allow it. Review links keep the selected month and billing entity. See Month End for paging, record actions and which queues cover all dates.
For self-billing, Ru can inspect supplier settings and retained agreement proof, review the full draft run, prepare a priced correction or queue an issued PDF when you authorise it. Downloading files, viewing rates and sending supplier documents still require cost access.
On smaller screens, Finance navigation scrolls horizontally. The selected destination stays in view when you resize the window.
Use Walk me through it in Finance setup or Ask Ru to draft lines from the plan in an empty budget editor to open chat. Describe the task and review the draft or proposed change before following the usual approval steps.
