Storage

The Storage page shows how much disk space the files uploaded to your organisation use. It covers every stored file: assets in collections, files uploaded through forms, files shared in chat, and generated content saved to your library. Organisation administrators and owners can open it from the sidebar under Admin → Storage.

The cards at the top of the page give you the headline figures:

  • Total storage: the space used by all active files, with the exact byte count underneath.
  • Files: how many stored files the total covers. If any files were stored without a recorded size, the card says how many.
  • In S3 and In database: where the bytes are held. Most media files live in cloud storage (S3); smaller documents can be stored directly in the database.
  • Version history: space used by older versions of files that have been replaced. The current version of each file is counted in the total.
  • Deleted (reclaimable): space still held by files in deleted collections or files marked as deleted. This is not included in the total.

The Usage by client table breaks the total down by client organisation. Each row shows the client’s file count, where the bytes are held, version history, the client’s total, and its share of your overall storage. Clients with no stored files still appear, so the list always matches your client list.

Select a client row to expand it and see the collections that make up its total, including each collection’s type and size.

Two special rows can appear alongside your clients:

  • Internal / unassigned: collections that are not linked to any client, such as internal component libraries and general chat uploads.
  • Files outside collections: files that do not belong to any collection.

The Other storage panel covers files that sit outside asset collections: user avatars for active members and your organisation logo. The Grand total card adds these, plus reclaimable deleted storage, to the active total, so you can see everything your organisation holds.

The date and time the report was generated appears at the bottom of the page. Figures reflect stored files at that moment; refresh the page for current numbers.
