Insights & Analytics

Insights & Analytics brings your organisation’s financial and delivery signals into one reporting workspace. Organisation administrators and owners can open Insights from the sidebar.

Use the controls at the top of the page before comparing results:

  1. Open the reporting period menu and choose a preset such as This Week, This Month, or This FY, or enter a start date and end date. The menu opens above the report content and closes after you choose a preset.
  2. Choose the financial year convention: Australia (July to June), calendar year, or UK (April to March).
  3. The end date is included in the report.
  4. Select the refresh control after time, tasks, projects, or rates have changed.

The same reporting period applies as you move between views.

The Overview, Budget, Performance, and Clients views show financial figures, so they need financial-report access (managers and above by default). Without it you see the Delivery and Workload views only, and Delivery becomes the first view when the page opens.

Insights uses the rates captured on each time entry, so changing a rate card later doesn’t rewrite past reporting:

  • Realized Revenue is billable time multiplied by the captured billable rate.
  • Internal Cost is all logged time multiplied by the captured internal cost rate.
  • Gross Profit is realised revenue minus internal cost.
  • Profit Margin is gross profit as a percentage of realised revenue.
  • Budget Variance is the project budget minus realised revenue.

A budget is a commercial limit or forecast. It isn’t counted as earned revenue. Rejected time entries never count towards hours, revenue, cost, or profit, and projects in the lean pipeline stage are excluded from every financial view. The Overview shows the rate coverage for the selected period:

  • Rate-card data is fully captured means every relevant entry has the billable and internal cost rates needed for its calculation.
  • Some entries use legacy rate fallbacks means older time entries are missing one or more captured rates. The figures still use the available legacy rate, but you should treat them as less authoritative.
  • No time-based financial activity means no time has been logged in the period, so revenue and profit remain zero.

If some entries are in a currency with no conversion rate yet, the notice also shows how many are waiting on a rate. Those amounts are included unconverted until you add the rate in Settings, which values them automatically.

The Budget view also shows the rate card used by each project, where one is available.

Understand delivery and estimation results

On-time rates only include completed work that has both a target date and an actual completion date. Missing dates aren’t counted as successful or late. When no eligible delivery records exist, the rate is zero rather than an assumed 100 per cent.

Estimation accuracy is always between 0 and 100 per cent. Finishing above or below the estimate reduces the score by the same proportion. Work without both an estimate and actual time doesn’t receive an accuracy score.

Workload totals count each project’s time and allocation once, regardless of how many people are assigned. Capacity forecasts use complete Monday to Sunday weeks, and workload and utilisation remain scoped to your organisation.
